The Project

City Facilities Management approached us to overhaul their existing staff intranet system to improve internal communication, streamline processes, and enhance employee engagement. The previous system suffered from a convoluted user experience, leading to low staff uptake and limited cross-communication between teams.

The project objectives included:

Streamlined User Experience: The Zen Agency embarked on redesigning the intranet system from the ground up, placing a strong emphasis on intuitive navigation, user-friendly interfaces, and seamless access to key features such as company news, holiday management, benefits, and documents.

Enhanced Communication Channels: Recognizing the importance of fostering collaboration and knowledge sharing, we designed a forum board within the intranet system. This would allow CFM's employees to engage in discussions, share information, and collaborate across teams more effectively.

Job Portal Integration: To streamline internal recruitment processes, we incorporated a dedicated job portal within the intranet system. Employees could now explore job opportunities within the company, facilitating internal mobility and career advancement.

The Outcome

In conclusion, our approach to redesigning City Facilities Management's intranet system not only addressed the previous system's shortcomings but also empowered CFM to enhance internal communication, foster collaboration, and offered more scope for the organisation to improve overall operational efficiency across its global workforce by using the new flexible intranet to fit around their future needs.

Princes Trust Zen worked with Prince's Trust designing two mobile apps as well as conducted UX interviews and testing with young people enrolled in the program.
